ZSIC Life Plc is inviting applications from suitably qualified and experienced candidates to fill the position of Manager Administration (ZL4) to be based in Lusaka.

Role Purpose:
Responsible for executing administrative strategy in relation to facilities management, transport, logistics, and general office operations that guarantees operational efficiency and a conducive work environment.

Key Performance Indicators (KPIs):

KPI 1: Administrative Operations Management: Plans and manages day-to-day administrative functions by ensuring availability and optimal use of resources across the business.
KPI 2: Facilities Maintenance: Develops and implements annual servicing and maintenance strategy of company facilities and assets to ensure full utilization to achieve operational efficiency.
KPI 3: Asset Planning: Develops and implements annual asset acquisition and disposal plan to ensure asset renewal and removal of obsolete assets from the register annually.
KPI 4: Asset Tracking: Administers asset tracking mechanism and asset movement as per approved business policy to ensure accountability at all times.
KPI 5: Asset Coding: Plans, codes assets, and maintains asset records in offices across the company to ensure effective asset monitoring.
KPI 6: Transport and Fleet Management: Coordinates the procurement, distribution, usage, maintenance, and licensing of company fleet to always ensure availability for purpose in line with policy.
KPI 7: Driver Management: Designs and implements driver management and out-of-town route rota annually to ensure equal distribution of work and monitor driver conduct during assignments.
KPI 8: Conducive Work Environment: Plans and implements office allocation, asset distribution, office provision distribution, and maintenance of suitable office facilities to ensure a feel-good office environment across the business.
KPI 9: Vendor and Contract Coordination: Plans the engagement of appropriate vendors and management of vendor relationships and service contracts by monitoring service quality and adherence to agreed standards and SLAs.
KPI 10: Facilities Availability: Develops annual facilities plan to ensure scheduled service and maintenance to guarantee 100% availability.
KPI 11: Branch Office Maintenance: Plans annually and coordinates availability of office requirements, maintenance, and repair works at all branch offices to always ensure sustained brand standards across the business.
KPI 12: Safety: Plans and implements annual safety mechanism across the business in line with the Factories Act to always ensure the safety of people during working hours.
KPI 13: Asset Insurance and Claims Processing: Plans and insures all company assets upon acquisition prior to usage, and coordinates claims processes during damage or loss to ensure retention of asset value.
KPI 14: Office Disinfection: Plans and undertakes quarterly office disinfection to ensure eradication of roaches, insects, and rodents.
KPI 15: Council Rates and Business Levies: Plans and settles council ground rates and business annual levies for all branch offices to ensure continued operations.
KPI 16: Provision of Essential Services: Plans and coordinates monthly settlement of utility and service bills to ensure continued provision of essential services across all branches.


Minimum Qualifications and Experience:

Full Grade 12 Certificate.
Bachelor's degree in Human Resource Management, Business Administration, Public Administration, Psychology, Economics, or Equivalent Degree (ZAQA certified).
Member of the Zambia Institute of Human Resource Management (ZIHRM).
Minimum of 5 years' experience in administration, with at least 3 years in a managerial role.
Familiarity with procurement laws and corporate facilities management is essential.
