Position: OHS, Facilities & Administration Officer Company: Sanlam Life Insurance Zambia Limited Department: Human Capital Department Location: Lusaka, Zambia Employment Type: Full-Time Job Summary: The OHS, Facilities & Administration Officer will operate under the Human Capital Department and support the Procurement function and all branch locations. The role is responsible for ensuring the effective management of facilities, administration services, workplace safety, physical security, and regulatory compliance across the organisation. The incumbent will drive the implementation of Occupational Health and Safety (OHS) programmes, coordinate facilities operations, manage service providers, and ensure that all workplaces are safe, efficient, compliant, and conducive to high levels of employee productivity and customer service. Key Responsibilities: 1. Occupational Health and Safety Management: Develop, implement, and maintain OHS programmes, policies, and procedures across the organisation. Ensure compliance with all applicable OHS legislation, standards, and regulatory requirements. Conduct regular workplace inspections, risk assessments, safety audits, and hazard identification exercises. In liaison with the Risk Unit, investigate workplace incidents, accidents, and near-misses and recommend corrective and preventive actions. Coordinate emergency preparedness programmes, fire safety initiatives, first aid arrangements, and evacuation drills. Support the promotion of health, safety, and wellness awareness through training, communication, and employee engagement initiatives. Maintain statutory records, safety registers, and compliance documentation. Monitor OHS performance indicators and prepare periodic reports. 2. Facilities Management: Oversee the maintenance, safety, security, and operational efficiency of all company facilities and branch locations. In liaison with relevant branches, coordinate repairs, maintenance schedules, renovations, refurbishments, and workspace optimisation initiatives. Ensure uninterrupted provision of utilities and facility support services. Monitor office leases, service agreements, and facilities-related vendor contracts, facilities expenditure, and support cost optimisation initiatives. Conduct regular inspections of facilities and recommend improvements to enhance operational efficiency and employee experience. Ensure facilities meet required safety, environmental, and operational standards. 3. Administration Support: Coordinate office administration services to ensure efficient and effective operations across all locations. Maintain company asset registers and support periodic asset verification exercises. Develop and maintain administrative procedures, service standards, and operational guidelines. Coordinate insurance claims relating to company facilities and assets as necessary. Support departmental and organisational projects requiring administrative coordination. 4. Governance, Compliance and Risk Management: Ensure compliance with applicable occupational health, safety, environmental, facilities management, and administrative regulations. Identify operational risks relating to facilities, safety, security, and administration and recommend mitigation measures. Promote sound governance practices and continuous improvement across all areas of responsibility. Minimum Qualifications and Experience: Full Grade 12 Certificate or equivalent. Bachelor’s Degree in OHS, Facilities Management, Business Administration, Engineering, Environmental Health, or a related field. A Master’s Degree will be an added advantage. Professional certification in OHS such as NEBOSH, OSHA, IOSH, or equivalent. Membership of a relevant professional body will be an added advantage. Minimum of four (4) years’ relevant experience in OHS, facilities management, administration, or a related field. Demonstrated experience managing multiple sites, branches, or operational locations. Knowledge of OHS legislation, fire safety, emergency response, business continuity planning, and regulatory compliance requirements. Experience within a regulated industry such as financial services, insurance, or banking will be an added advantage. Proficiency in Microsoft Office applications. Valid driver’s license will be an added advantage.
